NOTE: Whiteboard is only available on Professional, Clinic, and Enterprise accounts.
The Limnu Whiteboard is a great way to capture your patient’s attention while having collaborative, visually stimulating conversations that can be saved and added to your patient's file.
Draw with colors and add lines, arrows, and shapes. Add a file to the board and then annotate as desired.
What's Covered in this Article
Access Whiteboard
The Limnu Whiteboard is a 3rd party extension that is integrated into doxy.me as a secure, private whiteboard solution. Integrating it into doxy.me makes it easy for doxy.me users to access it during a doxy.me call. Just click on the Whiteboard link in the left sidebar while in a call to launch a new board. All participants on the call will automatically be added to the board.
Use Toolbar, Trackpad, and Keyboard
The toolbar is accessible on the left side of the whiteboard. The toolbar adjusts / collapses depending on the size of your browser window or mobile device.
Most buttons are self-explanatory, but tooltips will appear if you hover your cursor over a button. Keyboard shortcuts are also displayed in the tooltip. Here is a full list.
Zoom and Pan
When using a trackpad, you can zoom by using two fingers in a pinching motion (in and out). To move around the whiteboard (pan), use a two finger scroll motion in any direction.
When using a mouse, if you would like to pan instead of draw, simply press the space bar or option/alt key to switch to pan mode. Press again to switch back. To zoom with a mouse, hold down the control key and then zoom with the wheel on the mouse.
You can also use the keyboard shortcut options of + / - to zoom, and the arrow keys to pan.
Draw and Create Shapes
All the basic tools for drawing and adding shapes are found in the top three buttons on the toolbar. Clicking on each button opens up additional options for colors, size, and tools.
Insert Text and Notes
The Text and Note features work the same. The only difference is Text boxes default to a white background.
Both have a tool bar with various formatting options. Changes to the format will apply to the entire text box / note.
Both text boxes and notes automatically expand vertically as you type. To expand horizontally, click off of the box / note and then click back on to trigger the sizing button in the bottom right corner.
Add Files and Annotate
There are several methods for adding files / images to the Whiteboard.
Drag and drop the file / image onto the Whiteboard
Copy and paste
Use the Add File button on the toolbar
Adding files and then annotating over top of those files can be a powerful intervention with patients. For example, a therapist might upload a worksheet or template and then facilitate a discussion as their client(s) work to fill in the template with personalized information. (The following whiteboard example was created by uploading a Powerpoint template and then using Text boxes to fill in the details.)
Whiteboard is compatible with the following file types:
PDF
JPEG
PNG
GIF
SVG
Word Document (.doc)
Excel (.xls)
Powerpoint (.pptx)
You can load a document with up to 50 pages. File size limit is 10mb.
Keep a Copy of Your Whiteboard
If you or your patient are going to keep a copy of your whiteboard, it must be downloaded before you end the call. Once a call is ended (by you or the patient), the board is deleted and is no longer accessible.
To make a copy of the Whiteboard, you have two options:
Use your computer or phone's screenshot capabilities (e.g., Command+Shift+4 on a Mac).
Click on the "Take a Screenshot" button on the toolbar (shown below). This will automatically capture all the content that is visible on the whiteboard and place it in your Downloads folder on your computer. For privacy reasons, the video thumbnails are not captured on the screenshot. Any information behind the thumbnails will be captured.
Close Whiteboard
To close the board, simply click on the X at the bottom of the toolbar. A confirmation window will pop up to protect against accidental closures. Once the board is closed, it is deleted. Your patient does not have access to this close button to prevent them from accidentally (or intentionally) closing the board.
Use Whiteboard on Group Calls
Whiteboard can be used during group calls. We recommend launching the whiteboard after all participants have joined the call. However, you can add an additional patient to an active Whiteboard any time.
To help you identify each patient on the Whiteboard, you will see the name the patient next to their cursor / drawing tool (whatever name they entered when checking in to your doxy.me room).
Because the Whiteboard has no boundaries it can be helpful to encourage participants not to wander off too far with their drawings. That said, if a participant is drawing in a location that is not visible to you, their name will display on the side of the Whiteboard to help you identify which direction to go to find them. You can also try zooming all the way out and then zooming back in on their drawing.
Maximize Whiteboard Space
To maximize your whiteboard space, use fullscreen view and close the sidebar.
Whitelist Whiteboard
If your organization is using a device management system that blocks sites for security purposes, you'll need to be ask your IT team to add https://doxy.limnu.com to their list of whitelisted sites.
Whiteboard Limitations
It is not possible to recover a Whiteboard after a call ends, whether intentionally or accidentally.
You can, however, pause a call during Whiteboard use, and then begin the call again with the same patient. As long as you and the patient do not refresh your browser or close the browser tab, the Whiteboard will reappear when the call resumes. (If you are pausing the call to see another patient, you should close the Whiteboard before pausing the call.)
Whiteboard works well for patients on mobile devices. However, if the provider is on a mobile device while using Whiteboard, there are some minor limitations.
While everyone on the call can see what is on the Whiteboard, it is not possible to use the screen share feature while you are also using the Whiteboard.
Troubleshooting
If Whiteboard fails to load, you may need to restart the call.
If you are using the Chrome browser, and you receive an error message saying, "Could not initialize shaders," doing the following will fix this rare problem:
Open a new Chrome tab, then copy and paste the following into the address bar: Chrome://settings/system
Toggle on "Use hardware acceleration when available"
Try initiating Whiteboard again
